How Mynd eliminated manual ordering with Sibi’s APIs

By embedding Sibi into their internal tools, Mynd streamlined procurement, gained full visibility, and cut replacement cycle times nearly in half.

With Sibi, everything happens inside your system. Estimates, orders, updates, and assets — all handled in one place, without switching tabs or tracking down answers.

The challenge: Inconsistent pricing and manual workflows

Appliance replacements are a daily part of property management and often a costly one. Before partnering with Sibi in 2021, Mynd did not have an easily scalable way to provide consistent, local quotes. Project Coordinators had to rely on whatever the vendor charged. Without access to verified pricing or inventory, it was difficult to spot outliers or maintain investor trust.

“You’d get a $700 repair quote and an $800 replacement quote and no real way to validate either. And then you’d lose trust with the investor because they’d find the appliance cheaper at the store down the street.” — Alexander Sutton, Product Manager, Mynd

The team had already been using Sibi’s platform with success, but toggling between tools and chasing down paperwork was still slowing them down. They needed something more deeply embedded in their workflow. A solution that lived inside their system and kept everything connected from quote to install.

“It wasn’t until recently that I saw the full end-to-end process. And when I looked at it, I was like, oh man. That’s gnarly.”

The solution: Embedded estimates and automated ordering

Mynd is a tech-enabled property management company with a full-stack platform built to keep residents, vendors, and internal teams aligned. But procurement had always lived outside of that stack — until now.

To streamline appliance replacements, the team built a new internal workflow using Sibi’s APIs. They connected live product catalogs, pricing, and order functionality directly to their internal tools using Sibi’s product API. With this integration, they launched an in-app estimate builder powered entirely by Sibi.

Now, Project Coordinators can:

  • View Mynd-approved appliance options by region
  • Access up-to-date pricing and availability
  • Generate compliant estimates in seconds.

Project coordinators no longer have to toggle between systems or chase down updates. Everything from price validation to order status is now in one streamlined view.

“It went from jumping between portals to building an estimate in 10 seconds. Everything the maintenance coordinator needs is now in one place.”

Before the API integration, placing a manual order through the Sibi platform took over 14 minutes on average. Now, once an estimate is approved, the order is placed instantly through Sibi’s API.

Everything that comes after the order — notifications to residents, scheduling, and confirmations — is handled through webhook events. If something goes wrong, like a no-show install or missing part, Mynd receives a real-time alert in their internal feed with context on what happened and why, keeping everyone in the loop until the job is done.

They also connected asset tracking through Sibi’s event system. Every fulfilled appliance automatically generates an asset, complete with warranty and spec details, without manual entry.

“When we integrated with Sibi, they treated our project as a priority. They extended their GraphQL API with the fields we needed, helped us design our workflow, and made the experience seamless from both sides.” — Dmitry Indikeev, Senior Software Developer, Mynd

The results: Faster ordering, fewer errors, and full visibility

With the new workflow in place, Mynd is moving faster with fewer handoffs and greater control. Everything is powered by Sibi’s APIs behind the scenes.

  • Estimates are built with consistent pricing and trusted tax logic
  • Orders are submitted through API instead of manually
  • Fulfillment is tracked with automated status updates
  • Exceptions are flagged instantly and surfaced in one place
  • Assets are recorded at fulfillment and linked to warranty data

They have already seen a 48% reduction in time to complete for replacements using the new system.

"Sibi's automated appliance ordering has streamlined our process by eliminating manual steps, reducing delays, ensuring compliance and minimizing errors. Together, these innovations have transformed our appliance ordering workflow into a more efficient and reliable system." — Charisse Webber, Project Coordinator, Mynd

What’s next: Expanding automation to more trades

It doesn’t stop with appliances.

In 2025, efficiency is the mandate for Mynd. The team is exploring how to bring the same structure to other categories like HVAC, water heaters, paint, and roofing. They’re also exploring ways to surface service delays and workflow issues earlier—turning exception tracking into proactive action.

Because the goal isn’t just better procurement. It’s operational intelligence at scale.
